Invite admins
heliana uses invite links to add members. You generate a link, choose the new member’s role and server access, then send the link to them. The link is one-time use and expires automatically.
Create an invite link
Section titled “Create an invite link”- In the left sidebar, click Members.
- Click Invite in the top-right corner.
- In the Invite member dialog:
- Role — choose Admin (full access within the permissions matrix), Viewer (read-only by default), or Clan leader (roster read access, for a clan lead managing their own roster).
- Server access — choose All servers or select specific servers the member can see.
- Click Create invite link.
- The dialog shows the generated link. Click Copy to copy it.
Important: The link is shown only once. Copy it before closing the dialog — it cannot be retrieved later.
Send the link to the new member. When they open it and log in (or create an account), they are added to the organization with the role and server access you set.
Pending invites
Section titled “Pending invites”Unused invite links are listed under Pending invites on the Members page. Each entry shows the role, time until expiry, and a Revoke button if you need to cancel it.
Change a member’s role or server access
Section titled “Change a member’s role or server access”You can update an existing member’s role and server access directly from the Members table without issuing a new invite:
- Role — click the role selector in the Role column and pick the new value. Owner is a fixed role and cannot be changed through the UI.
- Server access — click the server access selector in the Server access column and add or remove servers.
Changes take effect immediately.
Remove a member
Section titled “Remove a member”In the Members table, click Remove on the member’s row, then confirm. The member loses access immediately. You can re-invite them later.
Built-in roles
Section titled “Built-in roles”| Role | Description |

| Owner | The organization creator. Has all permissions; cannot be changed or reassigned. |
| Admin | Full permissions by default. Configurable via the roles matrix. |
| Viewer | Read-only access by default. Configurable via the roles matrix. |
| Clan leader | Read access to Player Lists only, so a clan lead can see the roster without getting a broader Viewer’s access to bans, players, and servers. |
